When people in different cities plan a meeting, the full local calendar date matters as much as the time. A single UTC input represents one instant, but each city has its own local date and offset. Before confirming, pick one instant and compare the resulting local dates and times for every participant. Do not assume business hours, holidays, or participant availability; only the local calendar date and offset are being checked.

A worked example

Consider 2026-12-31 23:30 UTC. In Tokyo, that instant is 2027-01-01 08:30. The year has changed locally even though the UTC date still shows December 31. If a London-based organizer only looks at the UTC date, they might invite a Tokyo colleague to a meeting that appears to be on New Year’s Day in Tokyo. Checking the Tokyo offset reveals the next-year local date before anyone confirms.

The same comparison applies in the other direction. A time that is late evening in Los Angeles may already be the following morning in Berlin or Sydney. Comparing the local date in every relevant city helps catch mismatches where one attendee believes the meeting is on Tuesday and another sees it on Wednesday.

Check the exported event

After picking an instant, download the ICS calendar file and check its interpretation in a calendar application. The exported event should open at the intended local time in each calendar. This step helps confirm that the application reads the same instant and applies the expected time zone conversion. The data uses browser Intl time zone rules; nothing is uploaded or saved.

Limits and common mistakes

This comparison does not infer business hours, holidays, or participant availability. A local date may be correct while still falling on a public holiday or outside someone’s working day. A common mistake is to rely on the UTC date alone. Another is to assume that a morning time in one city is also a morning time everywhere else. Always compare the full local calendar date and time for each city, and verify the ICS file before sending the invitation.
